At Arvallis, handling other people’s property and money is the job — so handling their information carefully is part of it. This Privacy Policy describes our practices for the website and the Services.
Scope of this Policy
This Privacy Policy explains how Arvallis Operations Co. ("Arvallis," "we," "us") collects, uses, and shares personal information when you visit our website, contact us, or use our Services.
It covers two kinds of information. First, information about you — our visitors, prospects, and clients. Second, information we process on behalf of our clients about their residents, owners, and applicants. For that second category, our client is responsible for the information and we act on their instructions, as described in Section 6.
Information We Collect
We collect the following categories of information:
- Account & contact details — name, business name, email, phone, and role, when you sign up, request a quote, or reach out.
- Billing information — processed by our payment provider, Stripe. We receive confirmation and limited details (such as the last four digits and card brand); we do not store full card numbers.
- Portfolio & operational data — properties, doors or units, leases, ledgers, and records you provide so we can deliver the Services.
- Communications — messages, support requests, and notes from our work together.
- Usage & device data — pages viewed, approximate location, browser, and device information collected through standard web technologies.
How We Use Information
We use personal information to:
- Provide, operate, and improve the Services and our website;
- Set up accounts, prepare Runbooks, and communicate about your portfolio;
- Process authorizations and payments and send receipts;
- Respond to inquiries and provide support;
- Maintain security, prevent fraud, and meet legal obligations; and
- Send service updates and, where permitted, occasional marketing you can opt out of.
How We Share Information
We do not sell your personal information. We share it only as needed to run the Services:
- Service providers who work on our behalf (see Section 5);
- Vendors we coordinate for your properties, limited to what the task requires;
- Legal & safety disclosures when required by law or to protect rights and safety; and
- Business transfers — if Arvallis is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this Policy.
Service Providers
We rely on trusted providers to deliver the Services — including Stripe for payment processing, plus hosting, communications, and analytics vendors. These providers may process personal information only to perform services for us, under contracts that require appropriate confidentiality and security. Stripe handles card data under its own privacy terms.
Data We Handle on Behalf of Clients
When we perform back-office operations, we process personal information about our clients’ residents, owners, and applicants. In that role our client directs the purpose of the processing and we act as their processor — handling the data only to deliver the Services, in line with the client’s instructions and the Master Services Agreement.
If you are a resident or owner and want to exercise privacy rights, please contact the property manager or landlord who manages your home or account. We will support them in responding to your request.
Data Retention
We keep personal information for as long as needed to provide the Services, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or de-identify it. Records we hold on behalf of a client are returned or deleted per the Master Services Agreement on termination.
Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access. No system is perfectly secure, but if we become aware of an incident affecting your information, we will act promptly and provide any notices required by law.
Your Rights & Choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. To make a request, email privacy@arvallis.com. We will verify and respond as required by applicable law, and we will not discriminate against you for exercising these rights.
You can opt out of marketing emails at any time using the unsubscribe link or by contacting us. Service and account messages are not promotional and will continue while you use the Services.
Cookies & Analytics
Our website uses cookies and similar technologies to keep the site working, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some may affect how the site functions. Where required, we honor recognized opt-out signals.
Children’s Privacy
Our Services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised Policy.
