Frequently Asked Questions
Property maintenance comes with questions. We help with the next steps.
Learn how Arvallis coordinates maintenance, works with your vendors and existing warranty providers, and keeps homeowners, landlords, property managers, apartment communities and real estate agents informed.
Getting Started
What does Arvallis do?
Arvallis handles the administrative work that keeps property maintenance moving. We collect issue details, contact providers, coordinate appointments, route estimates for approval, follow up on progress, and organize service records. Your plan determines the number of requests and level of support included.
Who is Arvallis for?
We support homeowners, second-home owners, landlords, property managers, apartment communities, and real estate agents. Choose Homeowner Care for a home, Rental Support for a rental portfolio, Apartment Maintenance & Resident Support for a community, or Real Estate Coordination for listing preparation and inspection-related repairs.
Is Arvallis a repair company?
Arvallis provides coordination and administrative support. The appointed contractor performs the repair or maintenance work. Your Arvallis fee covers the coordination services described in your plan; contractor charges are separate.
Does Arvallis replace my property manager?
Arvallis can serve as a maintenance coordination desk for an owner or support an existing property management team. Our standard plans focus on maintenance administration. Leasing, rent collection, legal notices, and general tenancy dispute resolution are outside that scope.
Can you help with a property I manage from a distance?
Yes. We can coordinate providers, communicate with approved contacts, and organize appointments using your agreed access arrangements. Home Plus and Home Concierge specifically include remote coordination while you are away. Our service does not include a physical presence, keyholding, or onsite home checks.
Do I need to have existing vendors?
Rental Essentials is designed for landlords with established vendors. New vendor sourcing is separately quoted or available through an upgrade. Homeowner Care, Rental Plus, and Portfolio Support include sourcing as described in their plans. Apartment and agent services follow the agreed scope.
How do I get started?
Choose a service or contact our team with your property details. We confirm service availability and scope, gather your approved contacts and provider information, and explain how to submit requests. Apartment communities receive a tailored proposal before enrollment.
Do you serve my area?
Contact us with your property address so we can confirm availability before enrollment. Vendor availability and the type of work needed can affect scheduling.
Requests & Scheduling
What counts as one coordination request?
One request covers one issue at one enrolled property involving one trade, from intake through standard scheduling and completion follow-up. For example, arranging a plumber to address a leaking faucet is one request. Routine updates and follow-up for that issue remain part of the original request.
What if I have several tasks for the same vendor?
We may accept a group of small tasks as one bundled visit when agreed in advance. Multiple unrelated issues generally count as separate requests. We confirm how your tasks will be counted before proceeding.
What if an issue needs more than one trade?
A second trade generally counts as an additional request. For example, plumbing work and a separate drywall repair may need separate coordination. We explain the scope and any additional request or fee before proceeding.
Does every call or email count as another request?
No. Routine calls, appointment updates, rescheduling, and completion follow-up for the same issue are part of that request. Additional scope or unusually complex coordination is discussed and quoted before extra charges apply.
What happens if I use all my included requests?
Additional standard requests cost $49 each with your approval. Complex projects, extended troubleshooting, extensive estimate comparisons, and major renovations are quoted separately. Apartment accounts follow the additional-request terms in their proposals.
Do unused requests roll over?
No. Monthly request allowances reset each billing period. Real estate package allowances apply across the package’s stated service period rather than resetting monthly.
What happens if a request continues into the next month?
On monthly plans, an open request remains the original request while your subscription stays active. It does not automatically use another month’s allowance. A new issue, additional trade, or expanded scope may require another request or a separate quote. Agent packages follow their fixed service periods.
How do I report a maintenance issue?
Use the request process provided during onboarding. Include the property address, a description of the issue, available photos, access details, and any relevant vendor or warranty information. We follow up if more details are needed.
How quickly will someone respond or attend the property?
Staffed coordination hours and response expectations are explained during enrollment. An acknowledgment from Arvallis and a contractor’s arrival are separate steps. Attendance depends on the issue, provider availability, required approvals, and access arrangements.
Is Arvallis available 24/7?
Staffed support follows the hours in your service agreement. Online submission does not mean immediate staff response or contractor attendance. After-hours coordination is available only where expressly included in your agreement.
What should I do in an emergency?
For an immediate threat to safety, contact emergency services or the relevant utility emergency line. Rental residents should also follow their property’s emergency instructions. Arvallis request submission should not delay urgent action.
What if a vendor misses an appointment?
We contact the vendor, seek an update, coordinate routine rescheduling, and keep the relevant people informed. Routine rescheduling for the same issue stays within the original request. Contractor attendance and completion times cannot be guaranteed.
Can you guarantee a completion date?
We track agreed deadlines and flag delays. Completion depends on contractor availability, parts, approvals, access, and the work itself, so we cannot guarantee a repair or project completion date.
Do you visit the property or inspect the work?
Our standard service is remote. We request completion details, photos, and relevant records from providers and follow up on reported concerns. This does not replace an onsite inspection, technical assessment, or code-compliance certification.
Vendors, Estimates & Repair Costs
Can you work with my existing contractor?
Yes. We can schedule with your approved provider and handle standard updates and follow-up, subject to the provider’s availability and cooperation. Rental Essentials is built around this approach.
Can you find a new contractor for me?
Vendor sourcing is included in Homeowner Care, Rental Plus, and Portfolio Support. For Rental Essentials, sourcing is quoted separately or available through an upgrade. Apartment communities and agent clients receive the sourcing support set out in their agreed scope.
Can I approve the vendor before work starts?
Yes. We coordinate within your approval instructions. Let us know if you require approval of each provider or have a list of approved vendors. An existing warranty provider may require its own assigned contractor.
How many estimates can you help obtain?
Home Essentials includes one estimate sought per request. Home Plus and Home Concierge include up to two, subject to provider availability; a second estimate is sought when requested. Rental, apartment, and agent services follow their agreed scope. Additional comparison work can be quoted separately. We cannot guarantee that a provider will submit an estimate.
Are estimates and diagnostic visits free?
Not necessarily. Providers may charge for estimates, diagnostics, or attendance. These charges are separate from your Arvallis fee and are routed for your approval.
Who approves the repair costs?
You or your authorized representative approves spending. We route estimates and proposed changes to the designated approver and follow any documented spending authority you have given us.
Are labor, parts, and repairs included in my plan?
Your plan covers coordination. Contractor labor, parts, materials, permits, diagnostic charges, and warranty service fees are separate, unless covered by your existing provider under its own agreement.
Do you guarantee the lowest price?
We help organize estimates and information so you can make a decision. Prices are set by providers, and savings or the lowest available price cannot be guaranteed.
What does invoice matching include?
Where included, we compare an invoice with the approved estimate and work order and flag apparent discrepancies for review. This is administrative support rather than an accounting audit or certification of the provider’s billing.
What if I am unhappy with a repair?
Tell us what happened and share any relevant photos or documents. We can follow up with the provider about the reported concern within the applicable request scope. Any repair remedy or workmanship warranty follows the contractor’s terms. Arvallis does not provide a separate workmanship guarantee.
Can you coordinate a renovation or major project?
Major renovations, multi-trade projects, and extensive project administration fall outside standard request allowances. Contact us with the scope so we can confirm whether we can assist and provide a separate quote.
Existing Home & Appliance Warranties
Can you deal with my existing warranty company?
Yes. Existing-warranty coordination is included in every Homeowner Care and Rental Support tier, within your request allowance. With your authorization, we can contact your home warranty, appliance warranty, or service-plan provider, help open a service request, coordinate appointments, and follow up where its procedures allow.
Can you wait on hold so I do not have to?
That is part of the support we offer. Our team can handle provider calls and routine follow-up so you spend less time waiting for an operator. Some providers may still require you to verify your identity, give authorization, or join a call.
What warranty-related tasks can you handle?
We can gather requested property and service details, contact the provider, help open and track a request, coordinate with its assigned contractor, share appointment updates, and follow up on delays and completion records. The assistance available depends on the provider’s procedures.
Does warranty coordination use my monthly requests?
Yes. The original issue counts as a coordination request. Routine calls, appointment updates, and follow-up for that issue do not each use a separate request. Additional issues, trades, or complex work may require additional support, which we discuss before proceeding.
Do you provide warranty coverage or pay the repair bill?
Arvallis coordinates service under an agreement you already have. Your warranty provider determines coverage and repair authorization. You remain responsible for its service fees and any uncovered costs. Your Arvallis subscription does not provide repair coverage.
Can you guarantee that my warranty claim will be approved?
No. We help organize the request and follow up on its status. Coverage, exclusions, authorization, contractor selection, and claim decisions remain with your provider under your existing agreement.
Can I choose my own contractor for a warranty repair?
That depends on your warranty agreement. Some providers require their assigned contractor or advance authorization. We coordinate within those requirements and help clarify the next steps with the provider.
What do you need from me to coordinate warranty service?
We need your provider’s name, relevant agreement details, property or appliance information, any existing service-request number, and authorization to communicate. We explain the appropriate way to share documents during onboarding. Please do not send account passwords through a general inquiry form.
Is warranty coordination included for apartments or agent packages?
It is standard in Homeowner Care and Rental Support. Apartment and real estate clients should ask for it to be included in their agreed scope where needed.
Homeowner Care
What homeowner plans are available?
| Plan | Monthly price per home | New requests per month | Support |
|---|---|---|---|
| Home Essentials | $49 | 1 | Shared coordinator team; one estimate sought per request |
| Home Plus | $99 | 2 | Assigned coordinator with backup; up to two estimates sought; monthly upkeep summary |
| Home Concierge | $149 | 3 | Home Plus support; quarterly planning call and proactive calendar review |
Which homeowner plan should I choose?
Home Essentials suits occasional maintenance needs. Home Plus provides more capacity and an assigned coordinator for a busy household. Home Concierge adds proactive planning for owners who want help organizing upcoming upkeep, including second-home owners and people managing a home from a distance.
Can I enroll more than one home?
Yes. Homeowner pricing and request allowances apply separately to each enrolled home. Contact us to confirm the addresses, service availability, and appropriate setup. Rental properties may be better suited to Rental Support.
What does proactive home support include?
Home Concierge includes a quarterly planning call and review of your maintenance calendar and upcoming tasks. It helps organize future upkeep. Scheduling a service visit uses a coordination request; calendar review does not create unlimited service requests.
Rental Support
How are landlord and property manager plans priced?
| Plan | Portfolio size | Monthly pricing | New requests per month |
|---|---|---|---|
| Rental Essentials | 1–9 units | $149 includes up to 3 units; $35 for each additional unit | 3 |
| Rental Plus | 10–24 units | $399 includes 10 units; $25 for each additional unit | 8 |
| Portfolio Support | 25–49 units | $799 includes 25 units; $20 for each additional unit | 18 |
Are requests included per unit or per portfolio?
Per portfolio. For example, a 10-unit Rental Plus account includes eight new requests across all ten enrolled units each monthly billing period. It does not include eight requests for each unit.
What does Rental Essentials include?
Rental Essentials provides tenant maintenance intake, collection of issue details and photos, approved-vendor scheduling, tenant appointment updates, estimate approval routing, work-order tracking, standard completion follow-up, and a monthly owner report. It uses a shared coordinator team and includes existing-warranty coordination.
What additional support comes with Rental Plus?
Rental Plus adds new vendor sourcing, a preventive maintenance calendar, invoice matching and discrepancy flags, an assigned coordinator with team backup, and a quarterly portfolio maintenance review. Its monthly request allowance is eight total.
What additional support comes with Portfolio Support?
Portfolio Support includes Rental Plus services with 18 new requests monthly, consolidated reporting, and a monthly portfolio maintenance review call instead of a quarterly review.
Can tenants contact Arvallis directly?
Yes, through the maintenance intake process agreed with the owner or property manager. We collect details, coordinate access, and provide maintenance-related updates. Spending decisions remain with the owner or authorized manager.
Do you handle tenant disputes, leasing, or rent collection?
Standard Rental Support covers maintenance-related communication. Lease enforcement, rent collection, legal notices, and disputes unrelated to maintenance are outside the service scope.
Can you manage preventive maintenance scheduling?
Rental Plus and Portfolio Support include a preventive maintenance calendar and reminders. Coordinating the resulting service appointments uses the applicable request allowance. The provider’s maintenance charges remain separate.
What happens if my portfolio grows?
Contact us to update your enrolled unit count. We confirm the appropriate tier, revised price, and effective date before making a plan change.
Apartment Communities
What is Apartment Maintenance & Resident Support?
It is a remote maintenance coordination desk for communities with 50 or more units. Support can include request intake, vendor scheduling, maintenance-related resident updates, approval routing, business-day review of open items, completion records, and monthly reporting.
How much does apartment support cost?
Pricing starts at $1,299 per month. Your proposal reflects unit count, expected request volume, onsite staffing, service hours, and reporting needs. The proposal sets the included request allowance and any additional-request charges.
Can you support our onsite maintenance team?
Yes. We can help with request administration, overflow coordination, resident appointment updates, and scheduling specialist trades. The scope is agreed with your community’s management team.
Is apartment support unlimited?
No. Each proposal defines its included workload, service hours, escalation process, and additional support terms so responsibilities are clear.
What is outside the standard apartment scope?
Onsite inspections, leasing, rent collection, legal notices, non-maintenance resident disputes, and major-project management are outside standard maintenance administration. Any additional service must be separately agreed.
How do we request a proposal?
Share your community address, unit count, onsite staffing, typical maintenance volume if known, and support requirements. We use those details to prepare a scoped proposal. Request a proposal.
Real Estate Coordination
Which packages are available for agents?
| Package | Price per property | Request limit | Service period |
|---|---|---|---|
| Listing Ready | $249 | Up to 4 | Up to 30 days |
| Closing Ready | $349 | Up to 5 | Up to 30 days |
| Listing to Closing | $549 | Up to 9 total | Up to 90 days |
What does Listing Ready include?
It includes a pre-listing preparation checklist; coordination of approved cleaning, landscaping, painting, and repairs; listing and photography deadline tracking; weekly agent and seller updates; requested completion photos and invoices; and a final status report.
What does Closing Ready include?
It includes an inspection repair tracker based on the approved scope, vendor scheduling, repair and closing deadline tracking, twice-weekly updates during active repairs, requested completion photos and invoices, and a final status report.
What does Listing to Closing include?
It combines preparation and inspection-repair coordination through one contact, with up to nine requests over 90 days. Updates follow the current stage. At $549, it saves $49 compared with purchasing Listing Ready and Closing Ready separately.
Do agent package requests reset each month?
No. The allowance applies to the entire package period. Listing to Closing includes nine requests total across both stages.
Who approves seller repair costs?
The seller or designated authorized representative approves providers, costs, and scope. Arvallis organizes approvals and records; the coordination package does not fund repairs.
What if we need more time or additional repairs?
Additional standard requests cost $49 each within the active service period. Extensions, expanded projects, and complex coordination are quoted separately before proceeding.
Will you certify that inspection repairs meet closing requirements?
We track the approved repair list and request completion documentation. Technical inspections, code certification, and confirmation that contractual closing conditions are satisfied remain with the appropriate qualified professionals and transaction parties.
Plans, Billing & Records
Will you charge for extra coordination without asking?
Additional standard requests and separately quoted work require your approval. We explain the proposed scope and charge before proceeding. Contractor charges follow the spending authorization arrangements on your account.
Where can I find cancellation, refund, and renewal terms?
Review the terms presented with your selected service before enrolling. Your agreement sets out billing, renewal, cancellation, refund, and any minimum commitment requirements. Contact us if you need clarification before purchasing.
Can I change my plan?
Contact our team to discuss a different level of support. We confirm the available option, pricing, request allowance, and effective date before a change is made.
What service records do you organize?
Depending on your service, records may include issue descriptions, appointment updates, estimates, approvals, invoices, provider completion details, and available photos. Records depend in part on the information supplied by clients and providers.
Who receives updates and reports?
We use the authorized contacts agreed during onboarding. Home Plus and Home Concierge include monthly upkeep summaries; Rental Support includes monthly owner maintenance reporting; apartment reporting follows the proposal; and agent packages include stage-appropriate updates and a final status report.
Still have a question?
Tell us about your property and the support you need. We will help you choose the right service and explain what is included before you enroll.
